To send out mass emails directly through your FreshOffice platform, open the ‘Mass Mailing’ feature.
Click on the ‘+’ icon to add a new email.
Subject: The title of your email, eg. Merry Christmas to all our wonderful clients!
Your name: The name of the individual sending the emails.
Your email: The email address from which the emails will appear as being sent from.
In this view, you can also:
Click on the slider next to ‘Recipients’ to choose if the mass mailing is for your employees or your clients (‘Accounts’).
Check how many mailshots you have left for the month. This amount refers only to the mass mailing feature. There is no limit to the number of normal emails you can send monthly.
Click on ‘Next’ to continue creating your mailshot
Here, you have a standard email field with HTML input and dynamic text. You can choose to create a brand new email, or simply select from one of your templates (‘Choose a template’).
You can create a new template by clicking on ‘Choose a template’.
In the email field, you can:
Copy and paste text from MS Word.
Add a link.
Include an image.
Add an enclosure.
Here, you are able to format your text (1) and add ‘tags’ (2) to your email. In the ‘Subject’ line and email body, tags will allow customised emails to be sent based on the entries you have in your FreshOffice platform.
Use the tag ‘Unsubscribe (link)’ if you want to enable your senders to stop receiving mail shots from you.
You can also easily switch your email between Text and HTML format with the ‘Text/HTML’ slider (top right).
Before you send the mail shots out, you can use the ‘Preview’ feature (1) to see how the mailshot will appear to your clients. If you are satisfied, you can continue on to the final step(2).
Click ‘Next’ to move on to the final step. Here, you can create your list of recipients for your mass mailing. Enter the necessary parameters as you require to categorise recipients (1) and filters (2).
Click ‘and’ to input a filter operator, which enables you to combine several different conditions to get the desired selection of recipients for your mass mailing.
When you are satisfied, you can view the list of recipients by clicking on ‘Results’.
Select ‘Next’ to save the custom mailing list you have just created for use in future mass mailings.
You mailshot is now ready for mass mailing. You can send it (1), or send a test letter (2) to yourself. You can also save the mailshot if you would like to carry out the mass mailing later (3).
Once the mailshot has been created, it can be opened by a double click to edit, or delete, start or copy from context menu (right click).
Details are available for completed mailshots. Simply click on the ‘+’ icon to launch.
